This section is used to schedule and/or view existing sessions in a Grid View (List View). Here you will be able to view, edit and create Billable and Non Billable Sessions for your clients and Providers.
Click Scheduler from Navigation Bar and select Scheduler Grid View.
- Calendar- This section is where you will select a date you would like to view. You are able to view past and future dates. Be sure to select a client or Provider to view. If neither is selected, no data will show.
- Zone- “Select Zone” will appear if a zone is not selected. You can also view clients for other zone(s) by changing the zone. The zone is used to organize your list of clients to make it easier for your scheduler to search for clients when scheduling and/or edit sessions. The zone feature is usually utilized by large facilities. Create zones- See Manager Module Manual. Assign a zone- See Client Manual.
- Select Client - In this section you will select a client. There are 2 ways to select a client. Double click on the client’s name. Or Select / highlight the client name and Select the “Get Schedule” button below. If the client has an active schedule, you will see it appear over to the center of the screen based on the date selected from the Calendar. You will be able to view multiple schedules if you hold down the CTRL key while selecting each client.
- Select Employee - In this section you will select a Employee. There are 2 ways to select an Employee. Double click on the employee’s name. Or Select / highlight the Employee’s name and Select the “Get Schedule” button below. If the Employee has an active schedule, you will see it appear over to the center of the screen based on the date selected from the Calendar. You will be able to view multiple schedules if you hold down the CTRL key while selecting each employee.
Select Status - You also have the option to filter the status of the client’s or employee’s scheduled session. So for example, if you wanted to only see cancelled sessions for a specific date you would select the “cancelled” status and the system will show only cancelled sessions for that client or employee.
Email Schedule - Selecting / highlighting the client and then clicking the “Email Schedule” Button: This will result in sending all the confirmed sessions to the client via email on file(This is the email address that has been added to the clients biographic section). Only sessions that are "confirmed" will be emailed. Also any scheduling notes that have the flag "Send Note To Client" checked will be emailed along with the schedule.
